1Information You Give Us

We collect information you choose to send us. What we collect depends on which form you use:

• Dealer application: your name, company name, company type, email address, phone number and website.
• Dealer onboarding: your company's legal name, primary contact, company email, phone and address, Federal EIN, state of registration, and a copy of your State Resale Certificate.
• Fabric sample requests: your name, company, email address, shipping address and the fabrics you selected.
• Contact form: your name, email address and your message.
• Social media: if you send us a message or submit a form on Facebook or Instagram, we receive the contact details and answers you provide there.

We ask for the Federal EIN and the State Resale Certificate because we are required to verify a valid resale certificate before we can waive sales tax on your orders. We do not use them for any other purpose.

2Information Collected Automatically

Our hosting provider records basic technical information when you visit: IP address, browser type, the pages you viewed and the time of your visit. This keeps the site running and secure.

We also use two tracking pixels, described in the next section, which collect information about how you use this site.

3Cookies and Tracking Pixels

A pixel is a small piece of code on a web page that reports activity back to the company that provides it, usually using cookies stored in your browser. We use two:

• The Meta pixel, provided by Meta Platforms, Inc. It records that you visited our site and what you did here, such as viewing a page or submitting a form, and reports that to Meta. We use it to measure our advertising on Facebook and Instagram and to show ads to people who have shown interest in our products or dealer program.
• The Klaviyo pixel, provided by Klaviyo, Inc. If you are on our marketing list, it records what you do on this site, such as the pages and products you view, and links that activity to your profile so our emails are relevant to what you were actually looking at.

We also use cookies that are necessary for the site to work, such as remembering that you have started a form. Those do not identify you.

You can block or delete cookies in your browser settings, though parts of the site may stop working properly. You can control the ads Meta shows you in your Facebook or Instagram ad settings. To be removed from Klaviyo tracking, use the unsubscribe link in any of our emails or email us.

4Marketing Communications

If you give us your details through this website, through Facebook or Instagram, or by contacting us directly, we may send you marketing about our products and our dealer program.

You can opt out at any time. Every marketing email has an unsubscribe link at the bottom, which takes effect immediately. You can also email info@porterlake.com and ask to be removed, and we will action it.

Opting out of marketing does not stop the emails we have to send you about something you asked for, such as a sample request confirmation or a message about an order.

5How We Use Your Information

We use what we collect to:

• Reply to your enquiry and process your dealer application.
• Assess whether your business is a fit for our dealer network.
• Set up and support your dealer portal account.
• Verify your resale certificate and apply the correct tax treatment to your orders.
• Send the samples you requested.
• Send marketing about our products and dealer program, until you opt out.
• Measure and improve our advertising, and show relevant ads on Facebook and Instagram.
• Keep internal records of our communication with dealers and prospective dealers.

6Who We Share It With

We do not sell your personal information for money. We share it with the providers that run parts of our business, and only so they can provide that service:

• Our website host, which operates the site and keeps server logs.
• Our database and file storage provider, where form submissions and resale certificates are stored.
• Our email provider, which delivers the confirmations and notifications triggered by the forms.
• Klaviyo, which stores our marketing list and sends our marketing email.
• Meta Platforms, which receives website activity through the Meta pixel and delivers our advertising.
• Our scheduling tool, if you book a call with us.
• Our dealer portal provider, once you are an approved dealer.

Sharing website activity with Meta for advertising may be treated as "sharing" or "targeted advertising" under some state privacy laws. We can remove you from our own marketing list at any time, but we cannot control what Meta does with the information it collects. To limit that, use your Facebook or Instagram ad settings, or block cookies in your browser.

We will also disclose information where the law requires it, or where we believe in good faith that it is necessary to comply with a legal obligation or to protect the rights and safety of Porter Lake Shading Systems, LLC.

7How Long We Keep It

Dealer records, including resale certificates, are kept for as long as you are a dealer and afterwards for as long as tax and business records require.

Enquiries and marketing contacts are kept indefinitely, so we have a record of everyone who has been in touch. You can ask us to delete your information at any time and we will, other than records we are legally required to keep.

8Data Security

We take reasonable administrative, technical and physical measures to protect your information. Resale certificates are held in private storage that is not publicly accessible, and access to dealer records is limited to the people who need it.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9Your Choices and Rights

You can ask us to show you what we hold about you, correct it, or delete it. Email info@porterlake.com or call 941-539-5398 and we will deal with it promptly.

You can unsubscribe from marketing at any time using the link in any marketing email, or by emailing us.

Deleting an active dealer account may mean we can no longer supply you, and we may need to keep certain records where tax law requires it.

10Do Not Track

Some browsers send a "Do Not Track" signal. There is no agreed standard for how sites should respond, and we do not currently respond to those signals. The controls described above are the reliable way to limit tracking.

11Other Sites We Link To

This site links to places we do not control, including the dealer portal, our scheduling tool and our social media pages. Their own privacy policies apply to what they collect, not this one.

12Children

This site is aimed at trade professionals and is not intended for anyone under 18. We do not knowingly collect information from children.

13Changes to This Policy

We may update this policy from time to time. Any update will be posted on this page with a revised date at the top. If a change materially affects how we use information we already hold, we will make that clear.
